Emergency Action Plan (EAP)

Purpose

To ensure a swift, coordinated response to medical emergencies, severe weather, or other safety concerns at all St. Martin Youth Athletics events.

Emergency Contacts

- Emergency Services: Dial 911.

- On-Site Contacts: Coaches, Director of Compliance & Safety, Sport Directors.

Medical Emergencies

- Stop all play immediately.

- Assess the situation; call 911 if necessary.

- Clear area and ensure adequate space for emergency responders.

- Designate a responsible adult to meet emergency responders at entrance.

- Notify parents/guardians as soon as possible.

Severe Weather Plan

- Follow Weather Cancellation Policy.

- Suspend activities at first sign of lightning (within 10 miles) or severe storms.

- Participants must take shelter in a building or vehicle.

Missing Child Procedure

- Alert all staff and volunteers.

- Contact parent/guardian immediately.

- Notify law enforcement if necessary.

Documentation

- All incidents must be documented using the Incident and Injury Report Form.

Weather Cancellation Policy

Purpose

To ensure the safety of all participants by establishing clear guidelines for weather-related cancellations.

Criteria for Cancellation

- Lightning within 10 miles (using weather apps or lightning detectors).

- Sustained heavy rain making fields unplayable.

- Severe weather warnings (tornado, hurricane, flash floods).

Communication

- Cancellations will be communicated via:

    - League website.

    - Text/email alerts.

    - Social media posts.

During Events

- If lightning is detected within 10 miles, all outdoor activities will be suspended for at least 30 minutes from the last detected lightning strike.

- Participants must take shelter in a building or vehicle.

- Decisions to resume or cancel games will be made by the Sport Director and Director of Facilities & Equipment.

Refund Policy for League Registration Fees

Purpose

To provide clear guidelines on refunds related to player registration fees.

Refund Amounts

- 100% Refund: Available if requested before registration closes.

- 50% Refund: Available if requested after registration closes but before uniforms are ordered.

- No Refund: No refunds will be issued once uniforms have been ordered.

Process

- Refund requests must be submitted in writing (email or form) to the Treasurer.

- Approved refunds will be processed within 14 days.

Exceptions

- Requests for refunds due to documented medical or family emergencies will be reviewed on a case-by-case basis by the Executive Board.

Code of Conduct Policy

Purpose

To ensure that all participants, including players, coaches, parents, and spectators, adhere to standards of behavior that promote a safe, positive, and respectful environment for all.

Applicability

This policy applies to all participants, coaches, officials, volunteers, parents/guardians, and spectators.

Expected Behavior

- Demonstrate sportsmanship, respect, and fair play at all times.

- Respect referees, officials, opponents, teammates, and coaches.

- Refrain from using profanity, abusive language, or gestures.

- Maintain self-control in all situations.

- Refrain from criticizing players, coaches, officials, or league volunteers publicly or on social media.

- Parents and spectators are expected to set positive examples for all children.

Prohibited Conduct

- Physical or verbal abuse.

- Harassment, bullying, or intimidation.

- Use or possession of drugs, alcohol, or tobacco products at league events.

- Disruptive behavior that interferes with games, practices, or events.

Enforcement

- 1st Offense: Verbal Warning.

- 2nd Offense: Written Warning.

- 3rd Offense: Suspension or removal from the program, subject to Executive Board review.
